Responsible for helping a business run smoothly and efficiently by managing the work environment, scheduling & coordinating GM related conferences, office maintenance, and take responsibility for much of the paperwork, policy, and office supervision.
Key Responsibilities
Administrative Support
Forwards information by receiving and distributing communications, collecting, and mailing correspondence and copying information.
Lead the air ticket reservations including email communications for travel arrangements and payment follow up.
Manage hotel room reservation and car rental arrangements for guests coming for work or conferences, including email communications, guarantee letter preparations and payments follow up.
Prepare LOI and Application letters for guests coming for work or conferences.
Support expats with transition.
Communicate with movers for expats expense settlement with supporting documents for their home items shipment.
Manage MT's car PM, follow up and arranging replacement.
Manage MT drivers leave request, performance management etc.
Lead the central office cleaning service and payment process.
Managing functional administrative Assistants and receptionist.
Oversee the maintenance of physical facilities and equipment at central office.
Lead the end-to-end process of purchasing office supplies and distribution to all locations.
GM Support
Managing GM’s calendar and support upon request
Preparing quarterly expense report for the managing director to be sent to the global office.
Support in arranging management meetings, and other general meetings as required to expected standard.
Collaborate with other managers and stakeholders to achieve organizational goals and objectives.
Job Requirements
Experience
A minimum of 4 years’ experience in office administration or relevant experience.
Examples of previous successful projects or initiatives involving administrative or supportive services
Education
BA degree in administrative office Management, Secretarial Science, or related fields
